Art and Science of Decision Making

At every moment of our life, we are consciously or unconsciously making some decisions or others. The impact of these decisions on future events of our lives varies widely. Also, the situations for making decisions can vary from Light moments like what to eat in Dinner to very tough moments like searching options capital infusion in a company.

Making decisions is an art as well as a science. Those decisions can be taken in haste which will not create an oscillating effect in life and subside in shorter period of time. But, those decisions which are very important need time to analyze and evaluate the different alternatives available on certain parameters and then only come up to solution.

There are certain steps of evaluation before coming up to solution and recommendation:

· With the involvement of all the relevant stakeholders, find out the important parameters. This is very important as missing on any one parameter will result into miscalculation and hence end-up making wrong decisions. Example: If someone wants to buy a car the probable relevant stake holders can be family members and close friends. Now, involve them for setting the parameters like Price, brand, color, comfort etc.

· Again, with the involvement of these relevant stakeholders, give weightages to the parameters. This will help in focusing which parameter is most important. Example: Like for buying the Car, Brand and Price may be given higher weightage than other parameters

· The different alternatives available should also be written down. Example: Buying Car can be categorized up to two levels. One is category of car (Hatchback, Sedan or SUV) and other is model (TATA Nano, Alto 800, Honda City etc.)

· Objectively all the alternatives should be evaluated on the basis of pre-defined parameters and should be assigned some numeric like 1 to 5 where 1 is least satisfied and 5 is most satisfied

· These ratings should be adjusted according to the weightages

· Summation of the final rating (i.e. after adjustments of weightages) will give the clear understanding of which alternative to choose finally from the pool of alternatives

· Develop recommendations and enable decision making

Above mentioned steps can be applied to any decision we make in life but it should also be taken care of that whether the gravity of situation warrants the usage of these steps or not. It is advised to use this method when the stakes are high (like tough monetary and emotional decisions).


Making decisions by using these practices is a Science but ensuring effectiveness is an art!!!

A lesson on when to give trainings

Human lives are far from perfections, and these imperfections are what make them worth living! Our lives are like roller coaster rides, wherein some days you are climbing heights and on others you are into free fall mode. It’s same like the journey of moon, wherein someday your days and works are so bright, that each person notices you and adores you, while on others you’re into twilight mode, wherein people are not even comfortable being with you, and are afraid of your coming. This is the part of the journey, part of our lives.

Even in our organizations, we go through the same journey, each one of us does. But here, the reason for exhilaration are not just limited to the hard work of the person, but the factors such as motivation from work, inputs provided by peer and seniors, the working environment and freedom, etc. also come into the play. Similarly, the twilights or the downfalls are influenced by factors such as the happenings of the personal lives of people, their expectations and outputs from the job, their journey and satisfactions on the path. The important point to be noted is that we do not live in an ideal world, but we live in intertwined world, wherein, our personal lives are impacted by our profession and so are our professional lives impacted by the workings of our personal lives.

All our lives are marked and masked by this journey from twilight to full moon and from full moons to the downfall. The Corporate leaders should understand that no change is permanent and there’s no certainty that today’s downfall would not lead to a huge leap in near future and today's leap is permanent and people would just keep on rising. As corporate leaders, we should play the role of supporters and anchors, wherever needed. When the person is down and out, it’s better to be empathetic and to understand his or her needs and to understand that the person is capable of getting out of this fate. No amount of sympathy or lessons or anything done at this time would help, and anything done out of pity would just throw him into the cocoon, and coming out will take more time. All the lessons should be given in bright, sunny days, rather than in the dark!

This especially outlines the learning and development needs. Teach and train people in happiness. For e.g. giving stress management training when people are happy is more advisable than giving same training when people are already in stress. Here, the training will itself be seen as a stress and the impact won’t be as much! It would be seen as another attempt to get more out of them. Moreover, preventions are always better than cure!


So a final word, never train or teach in the dark, don’t even bother with unwanted advise, but trust them that they’re capable and empower them to handle it. “If we know the way to downfall, we certainly do know the way out.” Keep all the trainings and advices and lessons for good times, when receptiveness is much much better!

A Bitter Reality

As the dream of most parents I had acquired a degree in Software Engineering and joined a company based in USA, the land of braves and opportunity. When I arrived in the USA, it was as if a dream had come true.
Here at last I was in the place where I want to be. I decided I would be staying in this country for about Five years in which time I would have earned enough money to settle down in India.

My father was a government employee and after his retirement, the only asset he could acquire was a decent one bedroom flat.

I wanted to do something more than him. I started feeling homesick and lonely as the time passed.

I used to call home and speak to my parents every week using cheap international phone cards.

Two years passed, two years of Burgers at McDonald's and pizzas and discos and 2 years watching the foreign exchange rate getting happy whenever the Rupee value went down.

Finally I decided to get married. Told my parents that I have only 10 days of holidays and everything must be done within these 10 days. I got my ticket booked in the cheapest flight. Was jubilant and was actually enjoying hopping for gifts for all my friends back home. If I miss anyone then there will be talks. After reaching home I spent home one week going through all the photographs of girls and as the time was getting shorter I was forced to select one candidate.

In-laws told me, to my surprise, that I would have to get married in 2-3 days, as I will not get any more holidays. After the marriage, it was time to return to USA, after giving some money to my parents and telling the neighbors to look after them, we returned to USA.

My wife enjoyed this country for about two months and then she started feeling lonely. The frequency of calling India increased to twice in a week sometimes 3 times a week. Our savings started diminishing.

After two more years we started to have kids. Two lovely kids, a boy and a girl, were gifted to us by the almighty. Every time I spoke to my parents, they asked me to come to India so that they can see their grand-children.

Every year I decide to go to India... But part work part monetary conditions prevented it. Years went by and visiting India was a distant dream. Then suddenly one day I got a message that my parents were seriously sick. I tried but I couldn't get any holidays and thus could not go to India....

The next message I got was my parents had passed away and as there was no one to do the last rites the society members had done whatever they could. I was depressed. My parents had passed away without seeing their grandchildren...

After couple more years passed away, much to my children's dislike and my wife's joy we returned to India 
to settle down.

I started to look for a suitable property, but to my dismay my savings were short and the property prices had gone up during all these years. I had to return to the USA...

My wife refused to come back with me and my children refused to stay in India.... My 2 children and I returned to USA after promising my wife I would be back for good after two years.

Time passed by, my daughter decided to get married to an American and my son was happy living in USA... I decided that had enough and wound-up everything and returned to India...

I had just enough money to buy a decent 02 bedroom flat in a well-developed locality.

Now I am 60 years old and the only time I go out of the flat is for the routine visit to the nearby temple. My faithful wife has also left me and gone to the holy abode.

Sometimes!!!
I wondered was it worth all this?

My father, even after staying in India, Had a house to his name and I too have the same nothing more.

I lost my parents and children for just ONE EXTRA BEDROOM.

Looking out from the window I see a lot of children dancing. This damned cable TV has spoiled our new generation and these children are losing their values and culture because of it. I get occasional cards from my children asking I am alright. Well at least they remember me.

Now perhaps after I die it will be the neighbors again who will be performing my last rites, God Bless them.
But the question still remains 'was all this worth it?'
I am still searching for an answer.................!!!
START THINKING
IS IT JUST FOR ONE EXTRA BEDROOM???

LIFE IS BEYOND THIS.... DON'T JUST LEAVE YOUR LIFE.......START LIVING IT........LIVE IT AS YOU WANT IT TO BE.......

Effective Managerial Skills-Part 2

Management can be considered as a system

Key concepts of the systems theory used in management:

a)  A system is a comprehensive assembly of parts becoming an organization to achieve the stated goals
b)      A system is called as OPEN if it has an interaction with the environment
and CLOSED if it has no interaction with the environment
c)      A system is defined, described and understood by the boundaries within which it performs
d)  The system are subject to entropy i.e. tendency to “run down”. Closed system suffer from entropy as they are cut off from the environment, while open system interact with the environment and draw upon the support to maintain a give condition
e)  Systems try to remain in an equilibrium or a steady state by taking recourse to corrective action

The advantage of viewing the management as a system is that it enables us to see the critical variables, constraints and their interactions with one another

Approaches to Management

F.W Taylor’s principles:

a)      Replace the rules of thumbs up with scientific rules
b)      Obtain harmony in group action
c)      Achieve cooperation of human beings, rather than chaotic individualism
d)      Work for maximum output
e)      Develop all workers to the fullest possible potential for their own highest possible prosperity

Carl George Barth, Henry L. Gantt, Frank and Lillian Gilbert are disciples of Taylor, who promoted the thought of scientific management

French Industrialist Henri Fayol promoted the theory of operational management

Fayol was of the view that all the activities of an industrial or business undertaking can be broken into operational functions such as technical, commercial, financial, security, accounting and so on…

14 Principles of Fayol:

a)      Division of work: Specialization increases output by making employees more efficient

b)     Authority: Mangers must be able to give orders. Authority gives them the right

c)      Discipline: Employees must obey and respect the rules that govern the organization

d)     Unity of Command: Every employee should receive orders only from one superior

e)      Unity of Direction: The organization should have a single plan of action to guide managers and workers

f)     Subordination of individual interests to general interest: The interest of any one employee or group of employees should not take precedence over the organization as a whole

g)      Remuneration: Workers must be paid a fair wage for their services

h)     Centralization: The degree to which subordinates are involved in decision making

i)    Scalar Chain: The line of authority from top management to the lowest ranks in the scalar chain

j)        Order: People and materials should be in the right place at the right time

k)      Equity: Managers should be kind and fair to the subordinates

l)    Stability of tenure of personnel: Management should provide orderly personnel planning and ensure that replacement are available to fill vacancies

m)  Initiative: Employees who are allowed to originate and carry out plans will exert higher levels of efforts

n)     Esprit the Corps: Promoting team spirit will bring harmony and unity within the organization

· Fayol regarded that planning, organizing, commanding, coordinating and controlling are the key elements of planning

· He believed operational management would succeed with the elements of management

· During the same period when Taylor, Fayol and others were concentrating on the scientific management other group of scholars were concentrating on Industrial Psychology and social theory as basis of scientific management

· Robert Owen, Rountree, Lynder Orwick focused on personnel management

·  Max Webber, Vilfred Pareto, Mayo Elton stated that productivity could be improved through social factors such as morale and satisfactory relation between members and workgroup and an effective management is possible only if human behavior is managed through the interpersonal skills viz. motivating, counseling, reading, and communicating

·  Hawthreries Studies “Man is a social animal”
o   Emphasis is on Behavioral Sciences

· Chester Bernard
o   1st to argue that the organization are open systems
o Behavioral Managers job was to communicate and stimulate employees high levels of effort
